Pathways Productions 2024-2025 Expo Season!

Thank you for your interest in becoming a vendor at our Natural Living Expos. Exhibiting is a wonderful way to share your business or organization directly with the Pathways Community interested in learning about mind, body, spirit, and eco-related resources. It’s also a valuable opportunity for business-to-business networking.

We offer different exhibiting options, booth + advertising package deals that provide discounts, and the opportunity to present a workshop to showcase areas of expertise or special interest.

The following Natural Living Expos are scheduled in our upcoming season:

  • Fall 2024 – October 6, Samuel Riggs IV Alumni Center, University of Maryland, College Park, MD
  • Spring 2025 – March 30, Hilton McLean-Tysons Corner, McLean, VA 
  • Summer 2025 – June 8, Samuel Riggs IV Alumni Center, University of Maryland, College Park, MD

NOW OFFERING TWO EXPO EXHIBITING OPTIONS…

OPTION 1: SINGLE SHOW APPLICATION

Continue to apply for a booth individually for each upcoming show in our season; Expo Booth + Advertising bundles still available, applicable to the magazine issue published prior to the event. Early bird and standard vendor rates and deadlines apply. 

Early Bird: $375 / $750 — Double Booth

Standard: $450 / $900 — Double Booth

Fall 2024 Expo Deadlines— early bird payment due by July 15th; final standard payment by August 15th

Spring 2025 Expo Deadlines — early bird payment due by January 17th; final standard payment by February 15th

Summer 2025 Expo Deadlines — early bird payment due by April 18th; final standard payment by May 15th

Expo Booth + Advertising Bundles*:

$450 — 1 Booth + 1 Sixth Page ($85 Savings)

$500 — 1 Booth + 1 Quarter Page ($135 Savings) 

$600 — 1 Booth + 1 Half Page ($185 Savings)

$850 — 1 Booth + 1 Full Page ($235 Savings)

*Add $375 to any option for Double Booth

OPTION 2: 3-EXPO PACKAGE DEAL

Participate in all 3 scheduled expos during the 2024-25 season at a discounted package rate; bundle advertising rates available, applicable to each magazine issue published during the expo season. One full-payment deadline applies: due by July 1st.

$1000 — 3-Expo Package – Single Booth / $2000 — Double Booth 

Bundle Advertising Rates: Ads will be confirmed and billed per issue; placements can be changed as needed.

$75 — 1 Sixth Page ($85 Savings)

$125 — 1 Quarter Page ($135 Savings) 

$225 — 1 Half Page ($185 Savings)

$475 — 1 Full Page ($235 Savings)

[Better for vendors who need long-range planning, and want to take advantage of cost savings.]

EXHIBIT BOOTHS INCLUDE:

  • (1) 8 ft. x 8 ft. booth, (1) 6 ft. table with tablecloth, 2 chairs, electrical access (within 25 ft).  Please bring whatever is not included in the booth, including your own extension cord as needed.
  • VIP Ticket Code for FREE ADMISSION to distribute to your clients and contacts for use on Eventbrite, our online ticketing platform (limits apply).
  • Eligibility to present a workshop during the Expo program (optional – more information below).
  • Discounts on advertising in Pathways Magazine!  Booth + display ad packages are available. Select your ad size in the application form and a member of the Pathways Team will follow up to finalize your placement. Ad design service is also available for the busy or novice exhibitor at an additional one-time fee.
  • If you are a reader or have a smaller set up and are looking to share with someone, let us know! We can help pair you up with a compatible vendor.

EXPO WORKSHOPS

Expo Workshops are an opportunity for exhibitors to share areas of expertise with the Pathways Community who are eager to explore and learn. On the Vendor Application, indicate your interest in presenting a Workshop, and provide a title and description of your talk.Workshop slots are extremely limited; topical subjects are given first preference; product demonstrations are discouraged. 

FOR FALL 2024 Workshops: Descriptions received after July 15th will be placed on a waiting list.  

  • Any applying exhibitor is eligible to submit a presentation to be considered for one of the workshops at no extra cost. All workshops are limited to 50 minutes.
  • We encourage mind-body-spirit-eco-focused workshop topics with the goal of developing community, celebrating diversity, supporting health and wellness, and promoting stewardship for the earth. 
  • Workshop descriptions matter! Be as specific about what attendees can expect. Descriptions exceeding word limits will be edited for length as needed.• If your presentation requires A/V equipment, please plan on providing your own device(s).  A/V rentals through the venue are very costly. Pathways does NOT supply extra A/V equipment, so not all requests can be accommodated.

Pathways Productions Natural Living Expo Vendor Booth Cancellation Policy

 (Effective May 1, 2024)

  • Final booth payments due 6 weeks before event date, or booth reservation will be canceled.
  • Booth cancellations up to 30 days before the event date will receive a full refund.
  • After 30 days, any booth cancellation will receive a full refund less a $150 cancellation fee.
  • No refunds will be issued for any booth cancellations done within 7 days of the event.

Complete the Vendor Application by choosing your show participation, and the desired advertising bundles, if applicable. Please note: this is NOT a booth confirmation. Once received, we will contact you directly to confirm availability, secure payment, and provide next steps to finalize your registration process and advertising placement(s).
